When Should You Book a Character Performer for Your Child’s Birthday Party?

You’ve picked the theme. Your child has been talking about their favorite princess, superhero, or storybook character for weeks. Now there’s one more question:


How far in advance should you actually book the performer?


The short answer is: earlier than you might think, especially if you have a specific character, date, or time in mind.


At CT Princess Parties, we provide professional character entertainment for birthdays and special events throughout Connecticut, Westchester County, and surrounding areas. While we sometimes have last-minute availability, popular dates and characters can book weeks or even months ahead.


For Most Birthday Parties: 4–8 Weeks Is a Good Starting Point


For a typical weekend birthday party, we recommend reaching out around four to eight weeks before your event.


That usually gives you enough time to:


* Confirm that your preferred character is available

* Choose the best appearance time for your party

* Complete your booking paperwork

* Plan the rest of the party around the character visit

* Make any special requests for the birthday child


If your date is flexible, we may have more options. If you need a particular Saturday at exactly 2:00 PM, booking earlier becomes much more important.


Some Characters Book Faster Than Others


Character popularity changes throughout the year.


Princesses such as Elsa, Ariel, Cinderella, Belle, and Rapunzel remain popular birthday choices, while superheroes like Spider-Hero, Superman, Wonder Woman, and Captain America are frequently requested for action-packed parties.


Seasonal characters are a completely different story.


Santa, elves, holiday characters, and other Christmas performers often begin booking well before December. The same is true for popular Halloween entertainment.


If your event is tied to a holiday or community celebration, we strongly recommend contacting us as early as possible.


The Time of Your Party Matters Too


Most families want birthday entertainment during the same general window: late morning through mid-afternoon on Saturday and Sunday.


That means a performer may technically be available on your date but already committed to another event during your preferred time.


When possible, giving us a little flexibility can make a big difference.


For example, instead of requesting only a 1:00 PM appearance, let us know if your performer could arrive anytime between noon and 2:00 PM. We can often work with a window much more easily than one exact time.


What About Last-Minute Parties?


Ask us anyway.


Seriously.


We occasionally have performers available for events booked only days in advance, particularly if the party is close to one of our performers or another scheduled appearance.


We would much rather have you ask than assume it’s too late.


Just keep in mind that last-minute bookings may mean your first-choice character or time is no longer available.


Book the Character Before You Print the Invitations


If having a particular character at the party is important to your child, we recommend confirming the entertainment **before** putting an exact character appearance on your invitations.


A child who has spent six weeks expecting their favorite princess to walk through the door is going to remember if plans change.


Secure the performer first. Then make the big announcement.
